Privacy policy
The short version
The documents you upload, and the questions your users ask, are processed only to answer those questions and to give you your own analytics. Your data is never used to train models. We host on SOC 2 compliant infrastructure, EU data residency is available, and your question logs stay in your workspace.

01 · Who we are
Practicl is a product of APixTec Limited, a company registered in Ireland. In this policy, “Practicl”, “we”, “us” and “our” refer to that entity. We provide software that turns the technical documentation a hardware company publishes into a cited AI expert its customers and engineers can ask.

For the documents a customer uploads and the questions their end users ask, Practicl acts as a data processor on that customer’s behalf; the customer is the data controller. For our own account, billing and marketing records, we act as a data controller. If you are an end user of a widget or workspace powered by Practicl, the company whose documents you are asking about is the controller of your questions — contact them for controller-level requests, and we will support them.
02 · Information we process
- Documents you provide — the datasheets, manuals, application notes and firmware release notes you or your team upload, and the structured content we derive from them (page-referenced passages and embeddings) so questions can be answered and cited.
- Questions and answers — the questions asked through a widget, workspace or share link, the cited answers returned, and related metadata (timestamps, which document was queried, whether the question was declined). These are retained in your workspace and, in aggregated and anonymised form, power your analytics.
- Account and contact information — names, work email addresses, organisation details and, where you request a demo or contact us, the information you submit.
- Technical and usage data — limited log and device information (such as IP address and browser type) needed to operate, secure and rate-limit the service.
03 · How we use information
We use the information above to ingest your documents, answer questions with page-level citations, decline and route questions the source does not cover, produce your product-intelligence analytics, operate and secure the service, provide support, and communicate with you about your account. We do not sell your information, and we do not use it for advertising.
04 · We never train models on your data
Your documents and your users’ questions are never used to train, fine-tune or improve any machine-learning model — ours or a third party’s. Where we rely on model providers to generate embeddings or answers, we use them under terms that prohibit training on your content. Answers are generated only from the documents you provide.
05 · Legal bases (GDPR)
Where the GDPR applies, we process personal data on the basis of: performance of a contract (to provide the service you or your organisation signed up for); our legitimate interests (to operate, secure and improve the service, and for direct business communications); and consent where required (for example, certain optional communications). Where we act as a processor, our processing is governed by our data processing agreement with the customer.
06 · Sub-processors and sharing
We use a small set of vetted sub-processors to run the service — cloud hosting and database infrastructure, an embedding provider, and a large-language-model provider — each under contracts that require appropriate security and prohibit training on your content. We share information with these providers only as needed to deliver the service, and with professional advisers or authorities where legally required. A current list of sub-processors is available on request at [privacy@practicl.io].
07 · International transfers and residency
EU data residency is available on request. Where information is transferred outside the European Economic Area, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses. Tell us if your deployment requires data to remain in a specific region.
08 · Retention and security
We retain your documents and question logs for as long as your account is active, and delete or return them on request or within a reasonable period after your account ends, subject to legal retention obligations. We host on SOC 2 compliant infrastructure and apply access controls, encryption in transit, tenant isolation and audit logging. Full question logs stay within your workspace.
09 · Your rights
Subject to applicable law, you may request access to, correction of, deletion of, or a portable copy of your personal data, and you may object to or restrict certain processing. Where we act as a processor, we will forward your request to the relevant controller or assist them in responding. You also have the right to complain to your local supervisory authority (in Ireland, the Data Protection Commission).
10 · Cookies
This marketing site uses only the cookies and local storage necessary to function and to remember your preferences. The Practicl widget and workspace use storage strictly necessary to maintain a session. We do not use advertising or cross-site tracking cookies. Where consent is required for non-essential cookies, we will ask for it.
11 · Children
Practicl is a business product and is not directed to children. We do not knowingly collect personal data from anyone under 16.
12 · Changes and contact
We may update this policy from time to time; we will change the date above and, for material changes, give notice through the service. Questions or requests? Contact us at privacy@practicl.io or through our contact page.
